A complete guide to Mapbuz, from sign-up to managing reviews across many locations.

1.Quick start

Mapbuz helps you monitor and reply to Google reviews from all your business locations in one place. Getting started takes a few steps:

  • Sign up with your email and a password, then accept the Terms of Service and Privacy Policy.
  • Pick a plan on the pricing page. Your chosen plan and billing period carry through to checkout.
  • Complete payment. Your account is activated once payment is verified and, where required, approved by an admin.
  • Connect your Google Business Profile account and choose the locations to manage.
  • Open Reviews, pick a review, then generate a reply with AI or write your own.

2.Connecting Google Business Profile

Mapbuz uses Google's official OAuth, so we never see or store your Google password.

  • Open Integrations, choose Connect Google and sign in with the Google account that manages your business profiles.
  • Grant access to manage your Business Profile. Without it reviews can't be read and replies can't be published.
  • Choose the locations to manage. The number of locations is capped by your plan; already-connected locations aren't counted twice.
  • Reviews are imported as soon as a location is connected, then synced periodically. A manual sync is available, rate-limited to avoid overloading Google.
  • Access tokens are stored encrypted. Disconnecting revokes the grant at Google and deletes tokens, locations and reviews from Mapbuz.
  • If access is revoked or expires, Mapbuz asks you to reconnect; your existing data is kept.

3.Managing reviews

The Reviews page lists every review from your connected locations with stars, text, date and reply status.

  • The Reviews page shows every review by default. Pick dates in the top bar to narrow the list; the All Reviews tab takes you back to all time. The date and location filters in the top bar also apply to the dashboard, performance and reports. Pick one location to focus on it, or All locations for the combined view.
  • Choose a preset (7, 30, 90 days) or a custom range.
  • Unanswered reviews are flagged so you can prioritise them; the Unanswered Reviews card on the dashboard turns yellow while any are waiting.
  • Sensitive reviews (for example low ratings or serious complaints) are marked so you review the reply more carefully.
  • The Sentiment menu shows a sentiment summary, complaint and praise topics, a comparison between locations, a location map coloured by sentiment, the list of reviews that need a reply, and Alerts. Available on every plan.
  • Negative-review alerts: every plan gets a daily negative-review summary by e-mail; real-time alerts by Telegram and e-mail are on Pro and Business, and delivery to a team Telegram group is on Business.
  • Mapbuz checks for new reviews automatically: every 15 minutes on Starter, 10 on Pro and 5 on Business. You can also sync manually, with an hourly limit set by your plan.

4.Google posts and photos

Manage your business profile's posts and photos from the Posts and Photos menus. Free on every plan.

  • Posts: create an update, event or offer with a call-to-action button (Learn more, Book, Call and more) and one photo. Posts appear on Google Search and Maps.
  • Schedule: choose a publish time from 5 minutes up to 90 days ahead. The post publishes automatically within about 10 minutes of that time and can be cancelled before then. If it fails to publish, you are notified.
  • Photos: see the real photos from your Google profile, upload from your phone's gallery or camera (JPG or PNG, up to 5 MB; large photos are shrunk automatically), pick a category, and delete your own photos. Under the Customers filter, photos customers uploaded to your profile are shown too (view only; remove them through Google).
  • Long lists are split into pages. Pick the location in the top bar or with the picker on the page.
  • Note: Google does not give third-party apps view counts for posts and photos, so those numbers are not shown. Product posts cannot be created through third-party apps.

5.AI replies

AI drafts a reply from the review text, business name, location category, and the tone and language you choose. You can always edit before sending.

  • Choose a tone (friendly, professional, warm, casual) and reply language (Indonesian or English).
  • Regenerate produces a new variation. Every successful AI reply, including regenerations, uses one quota unit.
  • Manual replies you write yourself don't use AI quota.
  • If generation fails, the quota is returned automatically. Retrying the same request is never counted twice.
  • A reply is published to Google only when you press send (or per your automation rules).

6.Reply automation

Set a different action for each star rating in Settings. Auto Reply is available on the Pro and Business plans.

  • Auto reply: AI writes and publishes the reply without approval.
  • Require approval: AI drafts, you approve before it is sent.
  • Manual: no automatic reply.
  • Defaults: 4โ€“5 stars auto-reply, 3 stars need approval, 1โ€“2 stars are manual. We recommend keeping low-star reviews with a human.

7.Analytics, Local SEO Score, QR and reports

Track review trends, average rating, response rate and recurring topics.

  • Analytics is available on Pro (basic) and Business (advanced).
  • PDF, Excel and CSV reports (including sentiment data) are available on Pro and Business.
  • All figures follow the date and location filters in the top bar.
  • Search and Maps views, website clicks, calls and direction requests come straight from Google. Periods up to 30 days are on Pro; longer periods are on Business.
  • The Local SEO Score (0โ€“100) rates how strong each location's profile is in local Google search, with a level, a ranking between locations and the parts that need the most work. Available on every plan.
  • QR Review: create a QR code per location for writing a review, opening Maps or directions, with a ready-to-print poster, table card or sticker, plus scans per day. Available on every plan.

8.Plans, pricing and quotas

Final price per plan (excluding tax where applicable):

  • Starter: IDR 35,000/month or IDR 336,000/year (equals IDR 28,000/month). 1 location, 100 AI replies per month, 1 team member, Sentiment Analysis, Local SEO Score, QR Review, a daily negative-review summary by e-mail, posts, business and customer photos, basic dashboard.
  • Pro: IDR 89,000/month or IDR 852,000/year (equals IDR 71,000/month). 5 locations, 500 AI replies per month, 3 team members, everything in Starter plus real-time negative-review alerts (Telegram & e-mail), Auto Reply, Analytics, PDF/Excel/CSV reports, priority support.
  • Business: IDR 179,000/month or IDR 1,716,000/year (equals IDR 143,000/month). 10 locations, 1,000 AI replies per month, 10 team members, everything in Pro plus alerts to a team Telegram group and Advanced Analytics (longer periods), priority support.
  • Yearly billing saves 20% compared with paying monthly for 12 months.
  • The AI quota belongs to your account and is shared by all locations. Yearly plans still get a monthly quota, not a full year at once.
  • The quota renews on your billing-cycle date (not the calendar month); the next reset date is shown under Settings โ†’ Subscription.
  • You get a warning at 80% usage and a notice when the quota runs out. When it's used up, new AI replies are blocked but manual replies keep working.
  • Upgrades apply immediately and the current period's usage is kept. A downgrade (or a move from yearly to monthly billing) takes effect when the period you have paid for ends: your current plan stays active until then, with no extra charge and no refund. Downgrading never deletes existing locations, members or data, but features that are not in the new plan are no longer available (for example real-time alerts, Auto Reply or Reports) and you can't add beyond the new plan's limits.

9.Payments and invoices

Prices, discounts, tax and totals are always calculated by the server, never by the browser.

  • At checkout the summary shows plan, period, subtotal, coupon discount, tax and total.
  • Available payment methods follow what the platform admin has enabled, for example manual bank transfer with proof-of-payment upload.
  • Payment status only changes through a verified confirmation from the payment provider or an admin action; it can't be changed from the browser.
  • For payments that need approval, the Pending Approval status shows until an admin approves.
  • An invoice is generated once payment is complete and can be viewed and printed from Settings โ†’ Subscription.

10.Team and roles

Invite colleagues to help reply to reviews. Team size is capped by plan (Pro 3, Business 10; Starter is owner only).

  • Roles: Owner (full access including billing), Admin (manages team, settings and subscription) and Member (manages reviews and replies).
  • Invite by email from the Team page. Invitation links are time-limited and single-use; invitations can be resent or revoked.
  • Pending invitations reserve a seat within the plan limit.
  • For now invitation links are shared from the Team page; automatic email delivery isn't active yet.

11.Account security

We apply standard security practices to protect your account and business data.

  • Use a strong, unique password. The eye icon in password fields helps you check what you typed.
  • Forgot your password? Use Forgot password on the sign-in page. Reset links are short-lived and single-use.
  • Change your password any time in Settings. The Remember me option only keeps your session longer on your personal device.
  • Passwords are stored hashed, Google tokens are encrypted, and secret keys are never shown in the app.
  • Every customer can only see their own organization's data.

12.Troubleshooting

Fixes for the most common issues:

  • Reviews not showing: make sure the location is connected and try a sync. If prompted, reconnect Google.
  • A post or photo fails: make sure Google is still connected (Integrations menu) and that the connected Google account owns or manages the profile. Photos must be JPG or PNG, between 10 KB and 5 MB.
  • Can't add a location or member: you've reached your plan limit. Upgrade under Settings โ†’ Plans.
  • AI reply button blocked: this month's quota is used up. Check the reset date under Subscription, upgrade, or reply manually.
  • Payment still pending: manual transfers need admin verification. Track it on the order status page and make sure proof of payment is uploaded.
  • Feature unavailable: features such as Auto Reply, reports, Analytics and real-time alerts exist only on certain plans.
